Roles, branches and specialties

Everyone who works in the clinic, their role, their schedule and — for doctors — the services they offer. Two things configured here decide whether the appointment form works at all: the weekly schedule and the services list.

Adding a staff member

  1. 1Click Add Staff.
  2. 2Enter name, email, phone and a password for their first sign-in.
  3. 3Choose the role. This is what their permissions come from, so pick deliberately — see Roles & permissions.
  4. 4Set the join date and, if you run more than one location, the branch.
  5. 5For clinical staff, set the specialty. It is what the appointment form searches when a receptionist types "dermatology".
  6. 6Build the weekly schedule: working days and hours. Days left off the schedule are greyed out on the booking calendar and cannot be booked.
  7. 7Save.

Doctor services

Open a doctor's record and add each service they offer, with a name, price and duration. Services belong to the doctor, not to the clinic — a consultation with one doctor and a consultation with another are two separate services with their own prices.

If a receptionist reports that the Service dropdown is empty after choosing a doctor, that doctor has no services on their record. It is the single most common cause of a booking that cannot be completed.

Staff can be deactivated rather than deleted. Deactivating preserves their history on past appointments and notes while removing their access — almost always the right choice when someone leaves.
